Privacy policy

This policy explains what personal information Eden Grove Outdoor Living collects through this website, what we do with it, who else sees it and what you can ask us to do about it. It is short and in plain English, which puts it in a small minority of privacy policies.

Who we are

Eden Grove Outdoor Living designs and installs pergolas, verandas and carports across Kent, Greater London and East Sussex. We decide how your information is used. Under UK data protection law, that makes us the "data controller".

What we collect

When you send us an enquiry

Our contact form and our pergola configurator ask for:

  • your name, email address and phone number
  • your postcode
  • what you are interested in, and any message you add

The configurator also sends the design you built. That means the size, colour and extras you picked, and the price it showed you.

With every enquiry we also record the page you sent it from and the time. Some links carry campaign codes, such as the ones added to our adverts. If you arrived through one, we keep those codes too. They tell us which adverts bring in enquiries.

When you browse the site

We use Google Analytics to see which pages people visit, how they found us and what device they use. Google collects this using cookies and your IP address, which also gives it a rough idea of your location.

When you send an enquiry, we tell Google Analytics what it was about. From the contact form, that includes the first half of your postcode, such as ME13. From the configurator, it includes the design and its price. We never send Google Analytics your name, email address, phone number or full postcode.

Vercel, the company that hosts this website, handles your IP address and browser details to deliver each page and to protect the site from attacks.

When you phone or email us

We keep what you tell us, so we can reply and follow up.

How we use it, and why we are allowed to

Data protection law says we need a lawful reason for each use of your information. Ours are:

  • Replying to your enquiry, arranging a survey and quoting. You asked us to. These are the steps before a contract.
  • Carrying out your installation, and looking after it afterwards. This is needed for our contract with you.
  • Working out how the site is used, and improving it. This is in our legitimate interests as a business.
  • Keeping the site secure and filtering out spam. Also in our legitimate interests.
  • Keeping business, tax and accounting records. The law requires it.

We may email you now and then about our products and services, which is also in our legitimate interests. Every marketing email has an unsubscribe link, and you can ask us to stop at any time.

We do not use your information to make automated decisions about you.

Who we share it with

We only share your information where we need to, and only what each organisation needs. That can include:

  • Vercel, which hosts this website.
  • Google, which runs Google Analytics for us.
  • Make (make.com), which passes each new enquiry to our team by text message and phone call, and keeps a log of it.
  • Web3Forms, which delivers enquiries to our inbox by email.
  • The companies that provide our email, phone and accounting systems.
  • Suppliers and delivery companies, when a product needs delivering to your address.
  • Professional advisers, such as our accountant, insurer or solicitor, when they need it.
  • The police, a court or a regulator, when the law requires it.
  • A buyer of our business, if that ever happens. They would have to keep using your information in line with this policy.

Where your information is stored

Some of these organisations store or handle information outside the UK, including in the United States. When that happens, we rely on the safeguards UK law allows. Either the country is one the UK has approved as protecting personal information properly, or the organisation has signed approved contract terms, such as standard contractual clauses.

Cookies

Cookies are small files a website saves in your browser. This site uses them for Google Analytics only:

  • _ga and _ga_GD5TZEFTZB tell one visit from another so Google Analytics can count them. They last up to two years.

If you arrive through a link with campaign codes in it, we keep the codes in your browser's session storage. This is not a cookie. The codes stay in your browser unless you send an enquiry, and they are deleted when you close the tab.

You can block or delete cookies in your browser settings, or install Google's opt-out add-on for Google Analytics. The site works exactly the same without them.

How long we keep it

If you send an enquiry and do not go ahead, we keep your details for as long as we need them to deal with it. If you become a customer, we keep them while we are looking after your installation, and for as long as the law makes us keep business and tax records. If you want your details deleted sooner, ask us.

Keeping it safe

Every page on this site is served over a secure (HTTPS) connection. Even so, no website or email system is perfectly secure. Please do not send us anything sensitive, such as bank details, by email or through our forms.

Your rights

Under UK data protection law, you can ask us to:

  • tell you what information we hold about you, and send you a copy
  • correct anything that is wrong
  • delete your information
  • limit how we use it, or stop using it for a particular purpose
  • send your information to you, or to another organisation, in a format a computer can read
  • stop sending you marketing, at any time

Where we rely on your consent, you can withdraw it at any time.

Some of these rights have limits. For example, we may have to keep records the law requires. To use any of them, email or phone us using the details above. We may need to check who you are first. We will reply within one month, and if we turn a request down, we will tell you why.

Children

This website is not meant for children, and we do not knowingly collect information about anyone under 16. If you think a child has sent us their details, contact us and we will delete them.

Complaints

If you are unhappy with how we have handled your information, please tell us first and we will try to put it right.

You can also complain to the Information Commissioner's Office (ICO), the UK's data protection regulator. Use the ICO's complaints page or call 0303 123 1113.

If you live in the European Economic Area, you can complain to your local data protection authority instead. The European Data Protection Board keeps a list of those authorities.

Links to other websites

Some pages link to other websites, such as the sources we quote in our guides. Their own privacy policies apply there, not this one, and we are not responsible for how they handle your information.

Changes to this policy

We will update this policy when the way we handle your information changes, and change the date at the top when we do.
